About us
FirmDocs is a private AI document assistant for Ontario law and accounting firms. It runs on a machine that sits inside your office, so your client files never leave your custody.
What FirmDocs is
Every public AI tool works the same way: whatever you type or upload is sent to servers owned by someone else, usually outside Canada, where it may be stored, logged, or used to train future models. For most businesses that's a footnote. For a firm holding privileged client material, it is a disclosure to a third party you have never met and cannot audit.
FirmDocs removes that step entirely. We install a dedicated machine — about the size of a hardcover book, quiet enough to sit on a shelf — on your office network. Your team drags files onto it the way they would move them into any folder: pleadings, discovery, contracts, correspondence, client records. The machine reads and organizes them right there. There are no cloud accounts and no outside services, and it keeps working with the internet unplugged.
Then anyone in the firm can ask a question in plain English — "When did the tenant first report the leak?" — and get an answer back that cites the exact document and page it came from. Every answer points to a source you can open and check, which is the difference between a tool a regulated firm can rely on and one it cannot.
Setup is one visit, usually under two hours. After that the technical part is ours: we handle the machine, and your team just uses it.
Why it exists
Not because firms are careless — because the useful tool and the safe tool were, until recently, two different things. Staff with deadlines reach for whatever is one browser tab away, and a free chatbot rarely feels like sending client data to a third party. It feels like typing into a search box.
A ban on its own tends to push that behaviour onto personal phones and home laptops, where the firm has no visibility at all. The approach that actually shrinks the exposure is to make the approved tool the easy one. That is the whole design brief for FirmDocs.

Who’s behind it
FirmDocs is built in Toronto by Ahsan Zia, a software engineer with a decade of production experience in environments where sensitive data must stay private, off-cloud, and unreachable. That constraint is not a feature bolted onto FirmDocs afterwards; it is the reason the product is shaped the way it is.
