The product
FirmDocs runs entirely on a machine inside a client firm's office. Documents loaded into FirmDocs, questions asked, and answers given are processed and stored on that machine only. They are never transmitted to us or to any third party, and we cannot access them. The product contains no telemetry or analytics. Nothing in the rest of this policy touches your firm's documents.
On your local network, not the internet
FirmDocs runs on your firm's local network (the LAN), the same internal network your office computers already use to reach things like a shared printer or file server. Staff open it in a web browser at a local address inside the office; it is not a public website. Because the work happens on that machine and your local network, FirmDocs does not need a wide-area connection (the internet, or WAN) to do its job. So when we say it "keeps working even if you unplug the internet," we mean exactly that: if your office internet goes down, FirmDocs keeps answering questions about your documents, because it was never using the internet to do that in the first place. Your documents are never sent over the internet, and any internet connection the machine may have is never used to move or copy your files off-site.
What we collect on this website
If you email us or book a demo, we receive the contact details you choose to share (your name, email, and anything you tell us) and use them only to respond, schedule, and follow up about FirmDocs. Demo scheduling is handled by Calendly, which processes the booking details you enter under its own privacy policy. We ask for no more than we need.
Cookies and analytics
This site uses Google Analytics to understand aggregate, non-identifying visit statistics, such as pages viewed and general region. Google Analytics sets cookies and processes this data on Google's behalf; we do not use advertising or cross-site marketing trackers. You can decline analytics at any time with your browser's cookie controls or Google's opt-out add-on, and the site works fully without them.
Where your information is processed
Two of the tools on this website, Calendly (scheduling) and Google Analytics, are operated by U.S. companies, so the limited information handled by them may be processed and stored in the United States and, while there, could be accessible to U.S. authorities under U.S. law. Emails you send us are handled in Canada. As above, your firm's documents in the FirmDocs product never leave your office and are never involved in any of this.
Consent and retention
By contacting us or using the site, you consent to the handling described here. You can withdraw consent at any time by emailing us, subject to any information we are required to keep by law. We keep correspondence and contact details only as long as they are useful for working together, and then delete them.
What we don't do
We do not sell, rent, or share your contact information, run advertising, or use marketing trackers.
Your rights
Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) gives you the right to ask what personal information we hold about you, to access or correct it, to have it deleted, and to withdraw consent. Email ahsan@firmdocs.ca and we'll act on it promptly. If you have a concern we haven't resolved, you may also contact the Office of the Privacy Commissioner of Canada.
